Dawn Foods is seeking a bilingual Tier I HR Shared Services Representative (fluent in English and Spanish, both verbal and written) to provide vital administrative support for our People Business Operations, Benefits, and Payroll teams in North America. This role serves as the first point of contact for Dawn Team Members, addressing questions related to Payroll, Benefits, Manager Self-Service (MSS), and Employee Self-Service (ESS) systems.
Key responsibilities include assisting team members and managers with inquiries about HR, payroll, benefits, and leave, while ensuring accurate and timely information and data entry into our HR systems. This position plays a critical role in supporting a seamless and positive experience for our people. This is a fully remote position. Pacific time zone working hours are preferred.
Key Responsibilities
- Team Member Assistance: Provide support to team members with HR, payroll, and leave software, including navigating and resolving issues related to timekeeping, payroll processing, and leave management.
- Manager Assistance: Help managers utilize MSS for tasks such as approving time off requests, managing team member records, and processing performance reviews.
- Self-Service Support: Address general questions and provide assistance related to Manager Self Service (MSS) and Employee Self Service (ESS) systems. Common questions include:
- MSS Questions:
- How do I approve time off requests in MSS?
- How can I update team member contact information?
- What steps should I follow to complete performance reviews in MSS?
- How do I generate reports on team member attendance and leave?
- Where can I find and update team member roles and responsibilities?
- ESS Questions:
- How do I access and update my personal information in ESS?
- Where can I view and manage my leave balance?
- How can I check my pay stubs and update my direct deposit information?
- What should I do if I encounter issues with my time entries or payroll?
- How do I request time off through ESS?
- MSS Questions:
- Leave Administration: Handle team member leave administration tasks involving coordination with a third-party vendor to track leaves and enter data changes into the HR system.
- Team Member Services: Support onboarding, compensation, benefits, and leave management.
- Benefits Coordination: Work with benefit vendors to address issues and update team members on benefits changes.
- Inquiry Management: Handle employment-related inquiries and resolve complex or sensitive issues.
- Data Management: Maintain accurate team member records and manage leave of absence tracking.
- Compliance: Ensure adherence to country specific, federal, state, and local employment laws and company policies. Support HR policy updates.
- Dawn Values: Uphold and promote the “Dawn Values” and support organizational excellence.
Education & Experience:
- Education: High school diploma required; some pursuit of higher education preferred.
- Experience: 1-3 years in Support Administrative Business Role. A focus in HR, payroll, benefits is a plus. Flexible hours may be required. Proficiency in Microsoft Office and other HR software (ADP, SuccessFactors, Tress).
Skills:
- Strong communication, analytical, and negotiation skills.
- Ability to handle confidential information with discretion.
- Capability to follow direction and work closely with teammates in a collaborative environment.
- Experience in assisting team members and managers with multiple areas included but not limited to HR, payroll, and leave software.
This role is essential in supporting Dawn Team Members, Managers, and People Business Partners by ensuring efficient, consistent, and clear communication across our North America Operations.
